Otter.ai plans and prices

Otter.ai looks like a cheap per-person tool, and for one person it is. The catch for companies is structural. Workspace size caps push growing teams from Pro to Business and then to Enterprise, and each step changes the price far more than the feature list suggests.

This guide prices every Otter.ai plan from the official pricing page, then shows what teams of different sizes actually pay.

Prices below were recorded on 12 October 2026. The headline figure is the lowest price you can get for that plan. Check the official page before you buy, because vendors change prices without notice.

How billing works

Otter bills per user, and annual billing cuts Pro from USD 16.99 to USD 8.33 and Business from USD 30 to USD 19.99 per user per month. Workspace size is capped by plan: Basic at 5 members, Pro at 5 billed users and Business at 25 billed users, with Enterprise unlimited. Pro's 1,200 monthly minutes are a shared pool across meeting and imported-file transcription. Promotional prices appear on the page, including a first-3-months Business discount for first-time subscribers, so check what renews at list price.

The tier trap

Pro stops at 5 billed users and Business at 25, so headcount and not features forces upgrades. The 26th user moves the whole team from USD 19.99 per seat to an Enterprise quote, and SSO is Enterprise only too.

Read this first. Prices were read on otter.ai/pricing on 12 October 2026. The page also shows promotional prices: Pro at USD 8.49 monthly and USD 4.17 annual marked "save 50%" (an asterisk footnote ties an offer to India-issued cards), and Business at USD 24 monthly for the first 3 months for first-time subscribers. List prices are used here. Workspace size limits (Pro 5 billed users, Business 25 billed users) were mapped from the comparison table column order, so confirm. Vendr's Otter benchmark has no date or purchase count, and the 7% renewal uplift is a single Vendr community note. Fireflies prices come from a third-party (Sonix) guide because fireflies.ai/pricing showed no prices. No free trial or renewal terms are published.

What 25 users cost on Business, monthly and on Enterprise

Twenty-five users sits right at the Business cap, so this table shows the cost of paying monthly and of growing past it.

Where the bill grows

Otter bills per user with hard caps on workspace size. These are the places the bill moves.

Workspace size caps

Pro allows 5 billed users and Business 25, so growth forces a plan change rather than adding seats.

Promotional pricing ends

Business shows 20% off for the first 3 months for first-time subscribers, then bills USD 30 monthly.

Shared minute pool on Pro

Pro's 1,200 minutes a month cover both meetings and imported files, so heavy users run out.

SSO is Enterprise only

SSO, SCIM and domain capture start on Enterprise, so an identity requirement means a custom quote.

HIPAA is an add-on

HIPAA compliance is listed as an Enterprise add-on, priced separately.

Renewal uplift

A Vendr buyer note mentions a standard 7% uplift in Otter order forms.

Which Otter.ai plan should you pick?

Basic

Pick it if you record a few short meetings a month and 300 minutes is enough.

Pro

Pick it if you are one person or a team of up to 5 needing 1,200 minutes and CRM sync.

Business

Pick it if 6 to 25 people need unlimited meeting transcription and admin controls.

Enterprise

Pick it if you have more than 25 users or need SSO, SCIM, the API or HIPAA.

Our view

Otter.ai is good value for individuals and small teams, and Business at USD 19.99 annually is fair for teams of up to 25 who meet all day. The value drops sharply past 25 users, where Enterprise pricing replaces a simple seat rate.

You may be overpaying if

You pay monthly for a stable team, every attendee has a Business seat when only note owners need one, or you also pay for Zoom, Teams or another notetaker that does the same job.

How to pay less for Otter.ai

  1. Pay annually

Annual billing saves 51% on Pro and 33% on Business against monthly prices.

  2. Seat only note owners

Keep occasional attendees on free Basic and pay only for people who run meetings.

  3. Stay under the caps deliberately

Plan seat counts around the 5 and 25 user limits before growth forces a plan change.

  4. Check education pricing

Students and teachers with a .edu email get Pro at USD 79.99 a year.

  5. Anchor low on Enterprise

Vendr buyer notes describe a 50% discount accepted on a net-new deal closed early in a quarter.

  6. Price the alternatives

Fathom and Fireflies.ai give you competing numbers before renewal.

What other buyers report

Vendr reports a median Otter.ai contract of USD 27,500 a year, with buyers paying between USD 10,693 and USD 119,020. Source

Keeping Otter.ai spend under control

Meeting assistants spread through individual sign-ups, and the plan caps on workspace size mean the bill changes shape abruptly at 5 and 25 users.

  • Track who holds a seat. Keep one list of paid seats, their owners and the date each was last used. Our guide to vendor management shows how to set that up.
  • Put renewals on a calendar. Log every renewal date and notice period in a contract renewal tracker so nobody finds out after the term rolls over.
  • Route new buys through one request. Cards and expense claims hide duplicate subscriptions. A short purchase requisition step catches them before the first payment.
  • Know your whole software bill. Pull every vendor into one view with a spend analysis template, then look at the tools with the fastest growth.

Bottom line. Use Pro for individuals and small teams, move to Business once you pass 5 users, and plan for the 25-user ceiling before it arrives. Pay annually and seat only people who own meetings.
