How to Use This RFP Template

This template is designed to be customised to your organisation's specific requirements before issue. Steps: (1) Complete Section 1 with your company background and specific requirements. (2) Review and tailor questions in Sections 2–5 — remove questions for capabilities you don't need; add questions for requirements unique to your organisation. (3) Define your scoring weights in Section 7 before issuing — not after receiving responses. (4) Issue to 4–6 shortlisted vendors with a 3-week response window. (5) Score responses independently before committee discussion.

Include in your RFP introduction: organisation overview (size, industry, annual spend under management, number of vendors, current ERP system); scope of the engagement (which modules are in scope: sourcing, contracts, vendor onboarding, compliance, analytics); current state (what tools you currently use, key pain points driving the evaluation); go-live timeline and constraints; and evaluation committee composition.

A well-run VMP RFP process typically takes 8–14 weeks: 2 weeks to draft and issue RFP, 3 weeks for vendor response period, 1 week for scoring, 2 weeks for demo scheduling and demonstrations, 1 week for finalist selection, 1–2 weeks for reference checks and final negotiation. Rushing this timeline typically leads to a poor platform decision.

Issue the RFP to 4–6 vendors — enough to ensure competitive pricing and feature comparison, not so many that evaluation becomes unmanageable. After scoring responses, shortlist 2–3 vendors for demonstrations. Make a final selection between 2 finalists after reference checks.
