Procurement, vendor and AP software in India
In India, procurement and AP software is judged on one question above all: will it protect input tax credit? Supplier GST compliance, e-invoicing and MSME payment rules make vendor data a tax asset here, not just an address book.
The short answer
Indian companies buying procurement, purchase order, vendor management or AP software should test GSTIN validation and supplier filing status, matching of purchase invoices against GSTR-2B before claiming input tax credit, IRN and e-invoice handling, TDS under Sections 194C, 194J and 194Q, MSME payment tracking against the 45-day limit, and a two-way sync with Tally Prime, SAP, Oracle, Zoho Books or Dynamics 365.
Four guides for Indian finance and procurement teams
Indian search behaviour is distinct. 'PO software' gets about 2,400 searches a month, far ahead of 'purchase order software', and 'vendor management system' outpaces 'vendor management software' two to one.

Input tax credit under GST depends on the supplier, not just the buyer. If a supplier does not report your invoice in their GSTR-1, it does not appear in your GSTR-2B, and the credit is at risk. That single rule means Indian procurement and AP teams care about supplier filing behaviour in a way teams elsewhere rarely do.
E-invoicing adds structure. Businesses with aggregate turnover above INR 5 crore must report B2B invoices to the Invoice Registration Portal and receive an IRN. Since April 2025, taxpayers with AATO of INR 10 crore or more must report within 30 days of the invoice date. For buyers, a valid IRN and QR code on the invoice is a quick sign the supplier is following the rules.
Payment terms are regulated too. Under the MSMED Act, buyers must pay micro and small enterprises within the agreed period, capped at 45 days, and since FY 2023-24 Section 43B(h) of the Income Tax Act disallows the deduction for amounts paid late. Companies also file MSME Form 1 on overdue MSME dues. AP software that knows which suppliers are MSMEs and flags ageing invoices is a direct tax saving.

Where Indian teams feel it first
Manufacturing
Large volumes of goods purchases mean e-way bills, GRNs and three-way matching on every inward delivery. ITC on raw materials is material to margins.
IT and ITeS services
High service spend, TDS under Section 194J and many vendors who are freelancers or small firms. Vendor onboarding and TDS accuracy come first.
Pharma and healthcare
Regulated supplier qualification sits alongside GST compliance. Vendor management is shared between quality and finance teams.
Retail and distribution
Many suppliers across states means IGST versus CGST plus SGST decisions on every invoice, and constant GSTR-2B reconciliation.
Buying software in India: FAQ
Businesses with aggregate turnover above INR 5 crore must report B2B invoices to the Invoice Registration Portal and receive an IRN. Since April 2025, taxpayers with AATO of INR 10 crore or more must report within 30 days of the invoice date.
Input tax credit generally depends on the supplier reporting the invoice, which then appears in your GSTR-2B. Matching purchase records to GSTR-2B before claiming credit protects you against disallowed ITC.
Under the MSMED Act, payments to micro and small enterprises must be made within the agreed period, not exceeding 45 days. Section 43B(h) of the Income Tax Act disallows the deduction for amounts not paid within that limit.
Tally Prime is widespread among SMEs. Mid-market and large companies run SAP S/4HANA, SAP Business One, Oracle, Zoho Books and Dynamics 365.
No. Government buyers use portals such as GeM and the Central Public Procurement Portal. Corporate e-procurement software manages a company's own requests, POs and suppliers.
