Accounts payable software for UK purchase ledger teams
UK buyers search 'accounts payable software' and 'accounts payable automation' about 1,300 times a month each. With e-invoicing mandatory from April 2029, the question is no longer whether to automate the purchase ledger, but which tool will still fit in three years.
The short answer
Accounts payable software for UK businesses should capture invoices and extract VAT correctly, match them to POs and GRNs, route approvals, and pay suppliers through Bacs or Faster Payments with controls on bank detail changes. It must pass data digitally to an MTD-compatible ledger such as Sage 200, Xero, NetSuite or Dynamics 365, and have a clear route to receiving structured e-invoices from April 2029.
2029 changes the AP software decision in the UK
For years, UK AP automation was sold on time saved. That case still holds: keying a PDF invoice into Sage, chasing an approver and reconciling the supplier statement at month-end adds up to hours per supplier per year.
What has changed is the deadline. From April 2029, B2B VAT invoices must be exchanged as structured e-invoices through accredited providers. Teams that buy AP software in 2026 should expect to receive invoices as data, not documents, within the life of the contract. A tool built mainly around reading PDFs will still be useful for overseas and small suppliers, but it will not be the main route.
So the evaluation has two halves. Today's job: capture, match, approve and pay. Tomorrow's job: receive e-invoices through an accredited network and match them automatically. A vendor who cannot explain the second half clearly is a risky choice.
The local facts your vendor must handle
VAT is where UK AP tools earn their keep. Capture has to read the supplier's VAT number, rate and amount accurately, handle reverse charge invoices with no VAT shown, and post everything to the ledger digitally to keep MTD digital links. Payment runs go out by Bacs or Faster Payments, so bank detail controls sit inside AP, not just in onboarding.

- VAT, 20% standard rate
- Tax authority
- HM Revenue and Customs (HMRC)
- E-invoicing
- Structured e-invoicing for B2B VAT invoices becomes mandatory from April 2029, confirmed at Budget 2025. The model is decentralised: businesses exchange invoices through accredited providers rather than a government platform. NHS England suppliers already send Peppol invoices.

Start where your team actually is
UK AP teams usually start by measuring invoice volume and cost. If you have done that, go straight to the requirements.
Know your invoice numbers
Invoices a month, share with a PO and days to approve: measure all three in the United Kingdom.
Test capture on your worst invoices
Handwritten, multi-page or multi-currency UK invoices separate strong tools from average ones.
Check payments and local rules
Confirm how each finalist pays UK suppliers and handles local invoicing rules.
Your UK ap automation requirements checklist
Every vendor will demo invoice capture. These rows test whether the tool is built for a UK purchase ledger.
| Requirement | Why it matters in the United Kingdom | Ask the vendor |
|---|---|---|
| 1VAT extraction accuracy | Wrong VAT on an invoice means a wrong VAT return. | Process 50 of our invoices and show accuracy on VAT number, rate and amount. |
| 2Reverse charge invoices | Construction and some cross-border services arrive with no VAT charged. | How does the system recognise reverse charge invoices and post the right VAT entries? |
| 3Supplier statement reconciliation | UK AP teams reconcile statements monthly to catch missing invoices and credits. | Can we upload a supplier statement and see unmatched items automatically? |
| 4Bacs and Faster Payments | UK payment runs need bank files or direct bank connections. | Do you generate Bacs files or pay directly, and how are payment runs approved? |
| 5MTD-safe posting | Copying data into the ledger breaks digital links. | Show bills posting to our [[integration/xero.html|Xero]] or Sage 200 test company with VAT codes intact. |
| 62029 e-invoice receipt | Structured invoices from accredited providers will be the main channel. | Will you receive e-invoices yourselves or through a partner, and when will that be live? |

Small teams
Xero or QuickBooks plus a capture tool will remove most keying. Turn on supplier statement reconciliation in your ledger if it has it.
Mid-market
You need PO matching, multi-company support, approval routing and Bacs payment runs. Compare AP specialists with the AP add-ons your ERP offers, and ask each one about 2029.
Enterprise
Shared service centres processing thousands of invoices a month need strong exception handling, supplier self-service and e-invoice reception at scale. Suites and AP specialists both compete here.
The kinds of vendors you will compare
UK AP software ranges from capture add-ons for Xero and Sage to global AP platforms. Narrow the field by asking how each tool will receive e-invoices in 2029; the answers vary a lot.
AP automation specialists
Invoice capture, matching, approvals and supplier payments, sitting on top of your ERP.
Procure-to-pay suites with AP
AP inside a wider procurement suite. Strongest when POs are raised in the same system.
Spend platforms and ERP AP
Cards and bill pay from spend platforms, or the AP module your ERP already ships with.
Often evaluated: Ramp, SAP Concur, NetSuite
Examples only, not endorsements. No paid placements. Confirm local availability and support with each vendor.
From signature to first live transaction
A single-company UK AP rollout usually takes a few weeks. Supplier communication about the new invoice address takes longest.
Measure today
Count invoices per month, the share with a PO, average approval time and late payment rate. You will need these numbers to prove the gain.
Set up the invoice inbox and coding
Give suppliers one AP email address and set default nominal and VAT codes for regular suppliers.
Configure matching and approvals
Agree tolerances with the financial controller and build approval routes from your matrix.
Run parallel for one month-end
Process invoices in both old and new ways for one close, compare, then switch fully.
AP automation software in the United Kingdom: FAQ
Software that receives supplier invoices, extracts their data, matches them to orders, routes them for approval and prepares payment. In the UK it is often called purchase ledger automation.
You need AP software that can receive structured e-invoices through an accredited provider. Some current tools will add this; others will rely on partners. Ask for a written roadmap.
AP software does not file VAT returns itself. It must pass invoice and VAT data to your MTD-compatible ledger digitally, without manual transfer, to keep the digital links rule.
Usually by generating a Bacs file for the bank or paying directly through Faster Payments integrations. Approval of the payment run should be separate from approval of the invoice.
It varies widely. Measure your own: take last month's invoices and calculate days from receipt to approval. That number is the baseline your business case rests on. Our invoice approval workflow shows a typical target process.
