Accounts payable automation in New Zealand

'Accounts payable automation' is the clear leader among AP searches in New Zealand, at about 1,300 a month according to Semrush. With government agencies now paying e-invoices within five business days, AP teams have a concrete reason to move.

The short answer

Accounts payable automation for New Zealand businesses should receive e-invoices over Peppol as well as PDFs, capture GST at 15% and supplier NZBNs, match invoices to POs, route approvals quickly, and post bills to Xero or MYOB. Suppliers to government should also be able to send e-invoices, since agencies pay 95% of them within five business days and will require them from large suppliers from 2027.

Market context

E-invoicing gives New Zealand AP teams a deadline

For most of the last decade, AP automation in New Zealand was a nice-to-have. Small teams coped with PDFs and manual entry. The government's e-invoicing rules change that calculation.

On the receiving side, Peppol e-invoices arrive as data. There is no capture step, no keying and no checking whether the invoice total was read correctly. For AP teams already receiving some e-invoices, an automation tool that handles both Peppol and PDF in one queue is the obvious next step.

On the sending side, suppliers to government get paid faster on e-invoices and, from 2027, large suppliers will be required to send them. AP and billing often sit in the same small team here, so the same software decision often covers both.

Local operating reality

The local facts your vendor must handle

New Zealand AP capture needs to read GST correctly at 15% and record the supplier's NZBN where available. Payments go out by direct credit through bank bulk payment files, so check how the tool produces those files and controls bank detail changes.

By company size

What matters at your company size

Small teams

1 to 50 employees

Your ledger may already receive e-invoices. Add a capture tool for PDFs and you are most of the way there.

Mid-market

50 to 1,000 employees

A dedicated AP tool with Peppol, matching and approval routing gives the biggest gain, especially for government suppliers.

Enterprise

1,000+ employees

Large organisations need exception handling at scale and reporting on payment times, often on NetSuite or Business Central.
