Accounts payable software for Canadian finance teams
'Accounts payable software' is the most searched phrase in this category in Canada, at about 590 a month, ahead of 'AP automation'. Canadian teams want the invoice keying gone, but they also want every tax amount captured correctly for input tax credits.
The short answer
Accounts payable software for Canadian companies should read GST, HST, QST and PST separately from each invoice, check the supplier's registration number for input tax credit support, handle USD invoices, match to POs and receipts, and pay by EFT or cheque. It must post bills with correct tax codes to QuickBooks Online, Sage, NetSuite, Dynamics 365 Business Central or Acumatica.
Why Canadian AP teams care so much about the tax lines
Invoice capture tools love to show how fast they read a total. In Canada the total is the easy part. The hard part is splitting it correctly: GST versus HST, whether QST applies, whether a BC supplier charged PST, and whether the supplier's registration number is on the invoice at all.
That split decides how much the company can recover through input tax credits. An AP process that lumps tax together, or posts it to the wrong code, either loses credits or creates audit exposure. Good AP software makes the split part of capture and flags invoices that cannot support an ITC.
The other Canadian reality is the cheque. Many suppliers still expect one. Moving them to EFT saves time and reduces fraud risk, but most AP teams need to run both for a while.
What Canada asks of a ap automation software
There is no e-invoicing mandate to plan around in Canada, so the AP case rests on accuracy and speed. Test capture on real invoices from suppliers in different provinces, including a few in French from Quebec and a few in USD from US suppliers.
- Indirect tax
- GST at 5%, HST in participating provinces, QST in Quebec, PST in BC, Saskatchewan and Manitoba
- Tax authority
- Canada Revenue Agency (CRA) and Revenu Quebec
- E-invoicing
- Canada has no federal or provincial B2B e-invoicing mandate. The practical difficulty is coding the right mix of GST, HST, QST and PST on each line, not the invoice format.
- Payment rails
- EFT, cheque, wire
- Common ERPs
- QuickBooks Online, Sage 50, NetSuite, Dynamics 365 Business Central, Acumatica, SAP S/4HANA
- Full profile
- All Canada tax, e-invoicing and data rules
Start where your team actually is
If you have not measured your invoice volume and cycle time, start there. It will make the vendor conversations sharper.
Find where invoices wait
Track ten invoices in Canada from arrival to payment and note where each one stalls.
Compare exception handling
Ask each vendor what happens to a Canadian invoice that does not match its PO.
Lock down the payment side
Review bank detail controls and payment run approvals before you choose a tool for Canada.
Requirements to put in your Canada ap automation RFP
Every AP vendor demos capture. These rows test whether it works for Canadian invoices.
| Requirement | Why it matters in Canada | Ask the vendor |
|---|---|---|
| 1Tax split on capture | GST, HST, QST and PST must be read and coded separately. | Run 50 of our invoices from different provinces and show accuracy on each tax field. |
| 2ITC support check | Invoices of CAD 100 or more need the supplier's registration number to support a credit. | Does the system flag invoices missing a GST/HST number? |
| 3French invoices | Quebec suppliers often invoice in French. | Does capture read French invoices as accurately as English ones? |
| 4USD invoices | US suppliers bill in US dollars. | How are exchange rates applied and posted? |
| 5EFT and cheque payments | Most Canadian AP teams run both. | Can we pay some suppliers by EFT and print or outsource cheques for the rest from the same run? |
| 6ERP posting with tax codes | Tax codes must reach the ledger intact for GST/HST and QST returns. | Show bills posting to our [[integration/netsuite.html|NetSuite]] or [[integration/quickbooks-online.html|QuickBooks Online]] test company with each tax code. |

Small teams
A capture and approval add-on for QuickBooks Online or Sage removes most keying. Check how it handles QST if you buy from Quebec.
Mid-market
PO matching, multi-entity support, EFT payment runs and strong tax capture. Compare AP specialists with your ERP's AP features.
Enterprise
High volume, several ERPs and shared services. Look for exception handling at scale and supplier portals in both official languages.
Mapping the vendor field
Most AP tools sold in Canada come from the US. Ask each vendor for Canadian customer references and test tax capture on your invoices, not theirs.
AP automation specialists
Invoice capture, matching, approvals and supplier payments, sitting on top of your ERP.
Procure-to-pay suites with AP
AP inside a wider procurement suite. Strongest when POs are raised in the same system.
Spend platforms and ERP AP
Cards and bill pay from spend platforms, or the AP module your ERP already ships with.

How a Canada ap automation rollout usually runs
A single-entity Canadian AP rollout usually takes a few weeks. Moving suppliers from cheque to EFT is the slowest part.
Measure the current state
Count invoices, cheques written and approval time. Note how often tax is corrected after posting.
Configure capture and tax codes
Map each tax type to your ERP codes and test with invoices from every province you buy in.
Set approvals and matching
Agree tolerances and approval routes with the controller.
Move suppliers to EFT
Invite suppliers to switch, verifying bank details by phone. Keep a cheque process for those who will not.
AP automation software in Canada: FAQ
Software that captures supplier invoices, codes them, routes them for approval and prepares payment. Canadian versions need to handle several sales taxes on one invoice.
It can. Good tools capture the supplier's GST/HST number and tax amounts separately, and flag invoices that would not support an ITC.
There is no mandate scheduled. Some large buyers and government departments accept electronic invoices, but suppliers are not required to send them.
Many can print cheques or send them through a cheque-printing partner. Ask about fraud controls on cheque stock and signatures.
