Accounts payable software for South African finance teams
English searches for AP software in South Africa are small, about 20 a month per phrase. Yet AP teams here carry a specific risk: an invoice that does not meet SARS's tax invoice rules cannot support an input VAT claim.
The short answer
Accounts payable software for South African companies should capture invoices and check that those above R5,000 meet full tax invoice requirements, including both parties' VAT numbers, capture VAT at 15%, match to POs and GRNs, route approvals, pay by EFT or PayShap with bank detail controls, and post to Sage 200 Evolution, Sage Intacct, SYSPRO, Xero, SAP or Dynamics 365. SARS plans phased e-invoicing from 2028.
South African AP starts with the tax invoice
SARS is strict about tax invoices. To claim input VAT on a supply above R5,000, you need a full tax invoice with the required details, including your VAT number and the supplier's. Invoices that fall short are a common audit finding.
AP software that checks those details at capture catches problems while the supplier can still issue a corrected invoice. Doing the check manually on every invoice is slow, and gets skipped at month-end.
E-invoicing will help from 2028. SARS has proposed a phased rollout starting with the largest taxpayers, using a decentralised exchange model. Structured invoices will carry the required fields by design. Until then, capture and checks do the work.
The local facts your vendor must handle
Payment fraud through changed bank details is a well-known risk for South African AP teams. Payments run by EFT and increasingly PayShap, which is fast and hard to reverse. Bank detail changes should require verification through a known contact before payment.
