Pricing guide, Accounting Software
Every QuickBooks Online plan in plain numbers, how user caps force upgrades, and what payroll and add-ons cost.
The short answer
QuickBooks Online costs USD 38 to USD 340 a month at list price, and new customers can take 50% off the first three months instead of a 30-day free trial. A 5-user team needs Plus at USD 140 a month: USD 1,680 a year at list, or USD 1,470 in year one with the intro discount.

QuickBooks Online is priced per company and not per user, which sounds simple until you hit a plan's user cap. Each tier allows a fixed number of users, so adding a bookkeeper or a sales manager can force an upgrade that doubles the monthly bill. The headline price is also often a three-month intro rate, and not what you pay in month four.
This guide covers the US plans with prices checked on Intuit's official pricing page, then shows where payroll, bill pay and price increases add to the cost.
Prices below were recorded on 12 October 2026. The headline figure is the lowest price you can get for that plan. Check the official page before you buy, because vendors change prices without notice.

How billing works
QuickBooks Online is billed monthly per company with no annual contract, and you can switch plans or cancel at any time. Each plan caps users (1, 3, 5 and 25), so finance headcount decides the tier as much as features do. New customers choose either a 30-day free trial or 50% off the base price for the first three months. Intuit's terms say offers for the same product cannot be combined, and after the intro period you pay the then-current price. Discounts and trials do not apply to payroll per-employee fees or other add-ons.
The tier trap
Plus stops at 5 users and 40 classes or locations. A sixth user, or a need for bill approval workflows, moves you to Advanced at USD 340 a month, a USD 200 monthly jump with no tier in between.
Read this first. Plan prices, the intro offer and offer terms were read on Intuit's US pricing page (and its pricing-details modal) on 12 October 2026. Intuit's own price-change notice gives no dollar figures, and the pre-August 2026 prices in the history (USD 75, USD 115, USD 275) come from AuditFriendly, which cites Intuit, NerdWallet and Insightful Accountant. Payroll bundle prices (Workforce Payroll with Simple Start at USD 88 plus USD 6.50, Workforce Premium with Plus at USD 203 plus USD 10 per employee) were read from the QuickBooks payroll pricing page, so confirm they are the current US list. There are no public renewal notice terms beyond month to month and cancel anytime. No reliable QuickBooks-only buyer benchmark was found, since Vendr's Intuit page shows an average across all Intuit deals.
Move the slider to see what each plan costs at your size. The figures use the list prices on this page and leave out tax, add-ons and any discount you negotiate.
Five users shows what a sixth user and a payroll bundle add to the Plus base.
| Scenario | Cost per year | Against the headline |
|---|---|---|
| Plus at list price for 12 months (5 users) | USD1,680 | Headline price |
| A sixth user forces Advanced (6 users) | USD4,080 | +USD 2,400 |
| Payroll added via Workforce Premium + Plus, USD 203 plus USD 10 per employee (5 users, 5 employees) | USD3,036 | +USD 1,356 |

Our view
QuickBooks Online is good value for small businesses that want the accounting system most US accountants already know. Simple Start and Essentials are fairly priced for small teams, and Plus is where the real value sits for inventory and project work. Advanced pays off only when user count, approvals or automation are hard requirements.
You may be overpaying if
You pay for Advanced but have five or fewer active users, you pay USD 45 a month for Bill Pay Elite on Plus when approvals are not needed, or you kept QuickBooks Plus after inventory moved to another system.
Count active finance users first. Essentials covers 3 and Plus covers 5 before Advanced is needed.
New customers get 50% off for three months instead of the free trial. Take it only if you are confident in the plan.
Users count against the cap, so clear out former staff and old accountant logins before upgrading.
If you pay for Bill Pay Elite and enhanced inventory on Plus, compare the total with Advanced, where Bill Pay Elite is included.
Plans are month to month, so you can move down a tier at any time.
Xero and Zoho Books publish lower entry prices and give you a real comparison before renewal.

| Zoho Books | USD15 per organization per month (Standard, billed annually) | You want a lower price, a free plan under USD 50K revenue and 3 users Read our Zoho Books pricing guide |
| FreshBooks | USD23 per month (Lite, 5 billable clients) | You mainly invoice a few clients and track time |
| Wave | USD0 (Starter), Pro USD 19 per month | You are a very small business that needs basic invoicing and bookkeeping |
Accounting logins accumulate: bookkeepers, former staff and one-off helpers. Each counts against the cap, and the cap sets the plan.
Bottom line. Choose the QuickBooks plan by user count and the one feature you cannot do without, then audit users and add-ons every quarter, because monthly billing makes changes easy in both directions. Watch Intuit's price notices, since increases land at renewal.
