Expensify's pricing looks simple until you read the rules. Control has two prices, a committed subscription size and a discount tied to how much you spend on the Expensify Card, and all three move the real per-member cost.
This guide breaks down each plan using Expensify's own billing documentation.

How billing works
On a Control annual subscription you pay USD 18 for every member included in your chosen subscription size, whether or not they are active, and USD 36 for each active member above that size. Subscription size can be raised at any time but only lowered at renewal. Pay-per-use Control bills USD 36 per active member, and Collect bills USD 5 per unique member, both monthly. Control discounts of up to 50 percent apply based on the share of approved USD spend charged to the Expensify Card.
The tier trap
Collect is cheap, but advanced approvals and ERP integrations such as NetSuite and Sage Intacct sit on Control, which costs USD 18 to USD 36 per member. Once finance needs those, the per-member price more than triples.

The split of features between Collect and Control (advanced approvals, NetSuite and Sage Intacct on Control) is based on general product knowledge, so check it against the live comparison. Free trial availability is not confirmed, and we found no reputable buyer-paid benchmark.

Our view
Expensify is good value on Collect for small teams, and on Control annual for companies that put most spend on the Expensify Card, where the effective price can fall to USD 9 per member. It is poor value on pay-per-use Control at USD 36 per member, or when the subscription size is set well above real usage.

You are on pay-per-use Control with stable headcount, your subscription size is above your active members, or most spend runs on other corporate cards so you never earn the Card discount.

Commit annually on Control
Annual Control is USD 18 per member against USD 36 pay-per-use, half the price for the same plan.
Set subscription size carefully
Size the annual commitment to steady active members, since it can only be reduced at renewal.
Move spend to the Expensify Card
Control discounts of up to 50 percent are tied to the share of approved USD spend on the Card.
Stay on Collect if you can
If approvals are simple and you use QuickBooks or Xero, Collect at USD 5 may be all you need.

- April 2025: new Collect workspaces moved to USD 5 per unique member per month, pay-per-use only. Older Collect workspaces kept legacy pricing of USD 10 pay-per-use.

Keeping Expensify spend under control
Expense tools hold two things that drift: the member count and the card mix. Both are decided by individual employees, and neither shows up until the invoice.
- Get the quote in writing, line by line. Finance and HR systems are priced by employee, module and service. Ask for each module as its own line so you can remove one later.
- Read the renewal clause first. Look for the uplift cap, the notice period and the rules on reducing headcount. Our contract management guide lists what to check.
- Compare against alternatives with the same scope. A fair comparison needs the same modules and employee count on both sides. Use a vendor comparison matrix.
- Plan for implementation cost. Setup, data migration and training often cost as much as a year of licences. Add them to the total cost of ownership.
Bottom line. Collect is the right start for small teams, and Control annual is worth it when you need advanced approvals and can route spend through the Expensify Card. Review subscription size and card share every quarter, and reset both before the renewal date.
