Free workflow automation software: automate the approvals that stall
Automation pays off where work waits: for an approver, a document, a chaser email. Free tools can route those handoffs, if you pick the process first and the platform second.
The short answer. Free workflow automation includes open source engines like n8n (source available), Activepieces and Node-RED, plus free tiers of hosted automation tools and automation bundled in suites you already pay for. Limits appear in task counts, premium connectors, audit logs and support. Map one approval process, automate it, measure the wait time saved, then expand.

Automate the waiting, not the work
Most office delay is not work. It is waiting: for a manager to approve, for a form to be completed, for someone to remember. These pauses are what workflow automation removes. The routing is simple; the saving is large because the queue empties faster.
Start with one process that has a clear owner, a start, an end and a measurable wait time. Our workflow library has ready maps: purchase requisition, purchase order approval, invoice approval, expense approval and contract approval.
What free automation covers
- Covered: triggers and actions between apps, simple approvals by email or chat, scheduled tasks, form to spreadsheet flows.
- Limited: task or run caps, premium connectors, error handling, versioning and role-based access.
- Rarely free: audit logs, SSO, enterprise support and compliance certifications.
Free automation is excellent for glue between tools. It is thinner as a system of record for approvals that must survive an audit.
Free routes worth testing
| Option | Type | Who runs it | Best for | Watch for |
|---|---|---|---|---|
| n8n | Source available, with hosted plans | You or vendor | Teams comfortable with visual workflows and some code | Licence is not classic open source; check terms for commercial use |
| Activepieces | Open source, with hosted plans | You or vendor | Teams wanting an open source alternative with a visual builder | Smaller connector library |
| Node-RED | Open source | You | Technical teams connecting devices, APIs and data | Developer oriented, with a simple interface |
| Free tier of a hosted automation tool | Free plan | Vendor | Non-technical teams who need quick app connections | Run caps and premium connectors |
| Automation in suites you pay for | Included feature | Vendor | Teams already on a major office or ticketing suite | Lock-in and per user licences |

Pick the first process well
Good first candidates
Choose a process with high volume, clear rules and an annoying wait: purchase requests, expense claims or new supplier onboarding. The procurement intake workflow and vendor onboarding workflow are typical.
Poor first candidates
Avoid processes with unclear rules, frequent exceptions or political owners. Automating confusion makes it faster, not better.
Design the exception route
Every workflow needs a path for the unusual case: the approver on holiday, the amount over limit, the rejected request. The multi level approval workflow and emergency purchase workflow show how.
A one week pilot
- Map the process. Draw it on one page with owners and wait times.
- Pick the trigger. A form, an email or a status change.
- Build the flow. Route to the approver with a reminder after one day.
- Test exceptions. Approver absent, amount over limit, request rejected.
- Measure. Compare cycle time before and after for two weeks.

When to move to a paid platform
Move when approvals need audit trails, when volume exceeds free caps, or when flows touch finance and compliance. Paid platforms add governance, versioning and support. See our notes on Zapier, Workato, Boomi and MuleSoft, and the n8n pricing guide and Zapier pricing guide.

Questions people ask about free workflow automation software
Is there free workflow automation software?
Yes. Open source and source available tools plus free tiers of hosted tools cover many workflows. Caps and premium connectors are the usual limits.
What should I automate first?
A high volume process with clear rules and visible waiting, such as purchase requests, expense claims or onboarding.
Is open source automation safe for business?
It can be, if you secure and update it. Check the licence terms for commercial use and plan backups.
What is the difference between workflow automation and RPA?
Workflow automation routes work between people and systems. RPA mimics user clicks in applications that lack integration.
When do I need a paid platform?
When approvals need audit trails, volume exceeds limits or flows touch regulated data.
