Free invoice software: how to bill customers without a subscription

Sending an invoice is easy. Getting paid on time, chasing late customers and keeping tax-ready records is where free invoicing tools differ, and that is where this guide spends its time.

The short answer. Free invoice software is plentiful and good enough for a small business that sends a few dozen invoices a month. Open source options are free to run, and cloud vendors offer limited free plans. Expect caps on clients or invoices, payment fees, and thin reminders. Move to a paid plan when late payments or tax rules start eating your week.

What you get free, and what costs extra

  • Normally free: unlimited or generous invoice creation, branded templates, PDF download, basic client list, simple status tracking.
  • Often capped: number of clients, recurring invoices, multi currency, custom fields, team logins.
  • Rarely free: automatic payment reminders that actually work, online card payment without a processing fee, e-invoicing network delivery, and tax filing.

Check the payment line twice. A free invoicing tool that adds a pay-by-card button is earning its income from processing fees, and those fees come out of your margin. Compare the fee to the cost of waiting for a bank transfer before you switch it on.

Invoice Ninja

A popular invoicing platform that you can run yourself at no licence cost, or use as a hosted service. Confirm the current licence and free hosted limits before relying on either.

InvoicePlane

A straightforward self hosted invoicing application. Good when you want control and light needs.

ERPNext or Dolibarr

Both include invoicing inside a wider business suite. Choose them only if you will use the other modules.

Free plan from a cloud vendor

Many invoicing apps offer a free tier to earn upgrades. Read the live limits and test the PDF and CSV export.

Word or Sheets template

Workable at very low volume. Lock the invoice number cell and keep a register of every invoice issued.

Three problems free invoice tools do not solve

Late payment

An invoice that gets sent and ignored is not an asset. Free tools tend to offer a single reminder, if any. Build your own rhythm: a note three days before the due date, a call on the due date, and a firm email at seven days. Write it once and keep it in the tool as a template.

Fraud and impersonation

Invoices are an attack route. Criminals send fake bills, and they impersonate suppliers to redirect payments. If you also pay invoices, treat any request to change bank details as suspicious until you confirm it by a known phone number.

E-invoicing mandates

More tax authorities now require structured electronic invoices. If you sell in a region with a mandate, a free PDF generator may not be legal for B2B invoices. Read our guides to e-invoicing, Peppol e-invoices and GST e-invoices before you commit.

A ten minute test before you commit

  1. Create a real invoice. Use a real client, real tax and real payment terms. Check that the PDF shows everything your country requires.
  2. Test numbering. Issue three invoices and confirm numbers are unique and sequential, and that deleted drafts do not leave gaps you cannot explain.
  3. Record a part payment. Mark a partial payment and see if the balance and status update correctly.
  4. Set up a recurring invoice. Schedule one for next month. If recurring invoices are locked behind a paid plan, note it now.
  5. Export your invoice list. Download all invoices as CSV. If the export drops tax or customer fields, your accountant will notice.

When it makes sense to pay for invoicing

Pay when chasing money takes more of your week than doing the work. The price of a plan is usually less than the interest on a few late invoices. If you invoice recurring clients, bill by time or deliver across borders, a paid plan with automation tends to repay itself quickly.

Before you buy, run the cost per purchase order calculator logic on your own side: how much time does each invoice take to create, send, chase and match? Then compare plans using our guides to Bill.com, QuickBooks and Xero, and see the invoice approval workflow if bills need sign-off before payment.

Questions people ask about free invoice software

Is there free invoice software with no limits?

Open source and self hosted options have no licence fee or invoice cap, but you manage hosting. Hosted free plans usually cap clients or invoices and charge fees on card payments.

What is the difference between invoice software and accounting software?

Invoice software creates and tracks bills to customers. Accounting software also keeps a general ledger, bank reconciliation and reports. Many small businesses start with invoicing and add accounting later.

Can I use a free invoice generator for tax purposes?

A generator can produce a compliant invoice if it includes the fields your tax authority requires. It does not keep a register or file tax for you, so keep your own records.

Do free invoicing tools support recurring invoices?

Some do, many put recurring invoices behind a paid plan. Test the feature during your trial so it does not surprise you in month two.

How do I get paid faster with free invoice software?

Send the invoice the day work finishes, state payment terms and bank details clearly, add a due date, and follow up on a set schedule. The tool matters less than the habit.
