Free RFP software: run a fair bid without buying a platform

Most RFPs fail before the first supplier replies. The brief is vague, the scoring is invented afterwards, and the winner is whoever the loudest stakeholder liked. A free process fixes that.

The short answer. True RFP platforms are paid, but a free RFP process is credible: a clear brief, a standard questionnaire, a weighted scoring sheet and a shared inbox with deadlines. Use our RFI, RFQ and RFP templates, score before you read prices, and move to eSourcing when you run many bids or need audit trails and supplier portals.

What an RFP is for, and when to use something lighter

A request for proposal asks suppliers to propose a solution, and to price it. It suits complex purchases where the solution is not fixed. For a standard item, a request for quotation is lighter. For early exploration, a request for information is enough. Our RFI vs RFP vs RFQ page explains the choice.

Choosing the wrong format wastes everyone's time. A forty page RFP for a commodity wastes suppliers' effort and slows you down.

Score before you see the price

Weights come first

Agree the weights before bids arrive: for example capability 40, delivery 20, security 15, references 10, price 15. The numbers are yours; the order matters. Changing weights after you see bids invites bias and challenge.

Blind the price

Score the non-price sections first, then open the price. This keeps cheap but weak bids from being flattered. Record each scorer's reasons.

Ask for evidence

References, case studies and a demo on your data tell you more than a polished answer. See how to choose a supplier for what to verify.

A two week RFP sprint

  1. Write the brief. Problem, scope, constraints, timeline.
  2. Set weights. Agree criteria and weights with stakeholders before issuing.
  3. Issue the questionnaire. Send the same questions to all suppliers, with a clear deadline.
  4. Score without price. Score non-price sections independently, then compare.
  5. Open prices and decide. Combine scores with price, record reasons and notify all bidders.

When to buy eSourcing

Buy when you run many bids a year, need supplier portals and audit trails, or want reverse auctions and structured question rounds. Browse the eSourcing and RFx software category, and read the strategic sourcing software and reverse auction pages.

If your sourcing is for a software or vendor platform, our vendor management platform features page lists what to ask. The free procurement software roundup covers the wider toolkit.

Questions people ask about free rfp software

Is there free RFP software?

Dedicated platforms are paid. You can run a credible RFP with free templates, a scoring sheet and a structured process; some tools offer limited free tiers.

What is the difference between RFI, RFQ and RFP?

An RFI gathers information, an RFQ requests prices for defined items and an RFP asks for proposed solutions with pricing.

How do I score an RFP fairly?

Agree weights beforehand, score non-price sections first, use several scorers and record reasons.

How many suppliers should I invite?

Usually three to six. Fewer limits competition; more adds effort without better results.

When should I use eSourcing software?

When you run many bids, need audit trails and portals, or use reverse auctions.
