Free contract management software: what works, and where it runs out
True free contract management systems are rare. What you can build for nothing is a register, a renewal calendar and clean templates, and for many small firms that catches most of the money.
The short answer. Fully featured contract lifecycle software is rarely free. What you can do at no cost is keep a central register, set renewal reminders, use reviewed templates and store signed copies in one place. Open source suites such as Dolibarr and ERPNext hold basic contract records. Move to paid software when renewals slip, review takes weeks or you manage hundreds of agreements.

Where contract value leaks, and why a register fixes the first part
Most contract losses are not dramatic. A renewal rolls over because nobody saw the date. A price goes up and nobody remembers the cap. A termination notice window closes the week before someone checks. These are tracking failures, and tracking is something a free tool can do well.
The harder parts, such as drafting, negotiating and redlining at scale, are where paid systems earn their fee. Be honest about which problem you have before choosing.
What a free setup can cover
- Register: every agreement with party, type, value, start, end, notice period, owner and location of the signed copy.
- Renewals: calendar reminders 90, 60 and 30 days before notice deadlines.
- Templates: vetted agreements for repeat deals, such as the MSA, SLA and vendor NDA.
- Storage: one shared, access controlled folder with consistent file names.
What it cannot cover well: clause libraries, version comparison across a long negotiation, approval chains with audit logs and obligation tracking. Those need workflow, and workflow is the line between free and paid.
Free routes worth testing
| Option | Type | Who runs it | Best for | Watch for |
|---|---|---|---|---|
| Dolibarr contracts module | Open source module | You or a partner | Small firms that need a record of contracts linked to customers and suppliers | Basic features, no clause library or redlining |
| ERPNext | Open source suite | You or a partner | Firms already running ERPNext who want contracts alongside buying and selling | Contract features are modest |
| Shared drive with a register | Template | You | Under 50 agreements and one or two owners | Depends on discipline and calendar reminders |
| Free plan from a cloud vendor | Free plan | Vendor | Small teams that want templates and reminders in one tool | Caps on documents, limited workflow and storage |
| E-signature storage | Feature | Vendor | Firms that already sign through one vendor | Storage is not management; no obligations or renewals |
Dolibarr contracts module
Dolibarr includes contract records tied to third parties and services. Enough for a register, not a lifecycle system.
ERPNext
Includes contract records and templates inside the wider suite. Check the version you would run.
Shared drive with a register
A spreadsheet register, a consistent file name rule and calendar alerts. Surprisingly effective when someone owns it.
Free plan from a cloud vendor
Some contract and document tools offer a free tier. Read the live limits and test the export of data and files.
E-signature storage
Signed files sit in the signing vendor's account. Useful as a copy, not as your register.

Fields that matter
Keep it short enough to maintain. Counterparty, contract type, owner, effective date, term, renewal type, notice period, annual value, currency, key clauses to watch and file link. Our contract renewal tracker template gives you a ready layout.
Owners, not just dates
A date with no owner is a calendar entry nobody acts on. Name a person for each agreement and have them confirm yes or no at each reminder. The contract renewal workflow shows how that decision is routed.
Approval before signature
Agree who must approve what, and in what order, before anyone signs. The contract approval workflow and sourcing to contract workflow cover the usual paths, and our contract lifecycle management overview explains the stages end to end.
A weekend setup test
- List every active agreement. Pull from email, folders and finance. Expect to find forgotten ones.
- Fill in the register. Use the fields above. Mark unknown notice periods in red and chase them.
- Set reminders. Create calendar alerts at 90, 60 and 30 days before each notice deadline.
- Name owners. Assign a person to each agreement and send them their list.
- Hold a 30 minute monthly review. Walk through the next 90 days of renewals and decide keep, renegotiate or end.
Two-minute check
Is a free contract setup enough?
Tick every statement that is true.
When to move to contract software
Move when any of these is true: you manage more than a few dozen active agreements, legal review is a recurring bottleneck, you need obligation tracking, or an audit asked for evidence you could not find quickly. Browse the contract management software category and the contract lifecycle management category to compare vendors by feature.
For the signing step, the free e-signature software guide covers tools and limits. If your contracts are mostly with suppliers, vendor management software may be the better fit. And our contract negotiation guide helps you tighten what goes into the register.

Questions people ask about free contract management software
Is there free contract management software?
Fully featured systems are rarely free. You can build a free register, renewal reminders and a template library, and some open source suites hold basic contract records.
What is the best way to track contract renewals for free?
Keep a register with notice periods and owners, and set calendar reminders 90, 60 and 30 days before notice deadlines. Review the next quarter's renewals monthly.
Do I need contract management software?
You need it when volume, legal review time or audit demands outgrow a register. For a few dozen agreements and a disciplined owner, a free setup is often enough.
What fields should a contract register include?
Counterparty, type, owner, effective date, term, renewal type, notice period, value, currency, key clauses and a link to the signed copy.
How is contract management different from e-signature?
E-signature collects signatures. Contract management covers drafting, approval, storage, renewals and obligations across the whole life of the agreement.
