Free asset management software: track what you own without paying per item

Most losses from lost equipment are quiet. Nobody notices a missing laptop or drill for months. A basic register fixes more than most owners expect, and it costs very little to start.

The short answer. You can track equipment and fixed assets for free. Snipe-IT and GLPI are open source options, some suites add asset modules, and a disciplined spreadsheet works for a small fleet. Free tools usually leave out mobile scanning at scale, depreciation reports and maintenance planning, so decide which matter before you load a thousand items.

Start with the register, not the software

A shared drive folder, a few tag stickers and a disciplined register solve more asset problems than any dashboard. The register answers four plain questions. What do we own? Where is it? Who has it? What state is it in? Software only makes those answers faster to find.

If you cannot answer them today, the software is not your problem. The habit is. Pick a tool that makes the habit easier, and keep the process short enough that people actually follow it.

What free tools can and cannot do

  • Good at: a central list of assets, tags and barcodes, check in and check out, assigning items to people and places, notes and attachments.
  • Often thin: depreciation schedules, maintenance calendars, audit trails, bulk mobile scanning, multi site transfers.
  • Rarely free: support with a service level, integrations with finance systems, and managed hosting.

Fixed assets for accounting need a little more care. Depreciation methods, disposal gains and tax treatment vary by country, so ask your accountant what the register must hold before you design the fields.

Snipe-IT

A widely used open source asset tracker built around check in and check out, with barcodes and labels. Confirm the current self hosted and hosted terms.

GLPI

An open source IT asset and service management tool with inventory, tickets and contracts. A good fit when asset tracking and support live together.

Odoo or ERPNext asset modules

Both suites include asset or maintenance features that link to accounting, which is useful when depreciation must post to the ledger.

Free plan from a cloud vendor

Several asset apps run a free tier for a small number of items. Test the cap and the CSV export before you load data.

Spreadsheet register

Fine to start. Use unique tag numbers, a drop-down for status and a protected header row.

The three jobs of an asset register

Control

The first job is knowing where things are. Assign every item to a person or a location, and make moves a recorded event. A tool that lets anyone edit location without a trail gives you a prettier spreadsheet, not control.

Maintenance

The second job is keeping useful life long. Record service dates, warranties and supplier contacts so that a repair does not start with a search for the invoice. Link purchase records back to the purchase order so cost and vendor are never lost.

Money

The third job is the financial one. What did the asset cost, when did it go live, and when does it leave? A total cost of ownership calculator helps you see whether repairing an old unit beats replacing it.

A seven day pilot

  1. Pick 30 real assets. Choose a mix of high value, mobile and fixed items. Test with real things, not a sample list.
  2. Design the fields. Tag number, description, category, location, assignee, purchase date, cost, supplier, status. Add more only when a report needs them.
  3. Tag them. Print labels, stick them on and scan one. If scanning fails, fix the label type before you tag the rest.
  4. Move three items. Check an item out, move one to a new site and retire one. Confirm each change leaves a trail.
  5. Export and reconcile. Export the register, count the physical items and note every mismatch.

When it is time to move beyond free

Move up when audits start to hurt, when assets are spread across several sites, or when maintenance downtime costs more than the licence. Paid systems also earn their keep when finance needs depreciation posted straight into the ledger.

If your concern is mainly laptops, licences and software, read the free IT asset management software guide instead; it covers discovery, patching and licence reconciliation. For stock held for sale or production, inventory management software is the right tool. Our spend management software overview shows how asset buying ties back to budgets.

Questions people ask about free asset management software

What is the difference between asset management and inventory management?

Assets are items you keep and use, such as equipment and vehicles. Inventory is stock you hold to sell or consume. Different tools suit each, though some suites cover both.

Is there free fixed asset software?

Some open source suites and a few cloud tools offer fixed asset modules at no cost, but depreciation rules vary by country. Ask your accountant which method your register must support.

Can I track assets in Excel?

Yes for small fleets. Use unique tags, a status list and a protected header, and keep one owner of the file. Move to a tool when more than one person edits it.

Do I need barcodes for asset tracking?

Not at first. Barcodes or QR labels become worthwhile when audits take hours, or when you check items in and out many times a day.

What is the best free asset tracker for a small office?

Open source Snipe-IT is a common choice for laptops and equipment. Test it with 30 real items, and confirm the licence and hosting terms before you commit.
