Key takeaways
- A payment receipt is issued by the seller after payment. It confirms the amount, the date and what was paid.
- It should quote the invoice number so the two documents can be matched at audit time.
- Issue one automatically for every payment. It costs nothing and ends a surprising number of queries.
- A receipt is not an invoice. It carries no demand for money.

What a payment receipt is
A payment receipt is a document issued by the party that received money, confirming the amount, the date, the method and what the payment was for.
Buyers use it to close a payable, employees attach it to expense claims, and auditors ask for it when testing whether invoices were paid. A good receipt tells a stranger the whole story in four lines.
A training company receives 2,400 by bank transfer for invoice TR-1182. Its system sends receipt RC-0932: amount 2,400, received 14 May, method bank transfer, reference TR-1182, balance due zero.
The buyer's finance team attaches it to the invoice file. At year end the auditor asks for proof of payment, and the file answers the question before it is asked.
What goes on a receipt

| Payer and payee | Names and addresses. | Shows who paid whom. |
| Amount and currency | Amount received. | Must match the bank line. |
| Payment method and reference | Transfer, card, cheque, with reference. | Lets the bank record be matched. |
| Invoice reference | Invoice number or numbers paid. | Ties the receipt to the debt. |
| Balance | What remains due, if anything. | Shows partial payments. |
| Issuer details | Signature or system stamp. | Shows it is genuine. |
The paying side's version of this document is the remittance advice. The comparison with invoices is on invoice versus receipt, and what counts as bank evidence is on proof of payment.
