Book your free procurement software demo

Tell us your country, company size and the process that hurts most. An advisor replies within one business day with up to three vendors that fit, and sets up the sessions.

  • Up to three vendors matched to your ERP and country
  • Demo run on your scenarios, not a sample company
  • No obligation, and no vendor contacts you without your approval

Why a procurement software demo should be booked, not browsed

Most demo pages are brochures. This one is a booking page with the evidence you need to judge the session. You can book first and watch later, or watch first and book when something in the recording matches your own process.

A procurement software demo is a live or recorded session in which a vendor shows how its product handles purchase requests, approvals, purchase orders, receiving, invoices and supplier data. A useful demo runs on your scenarios, scores against a fixed checklist, and ends with a price range and a named contact.

Choosing well matters. Capterra surveyed 299 UK software buyers and found that only about one in four was fully satisfied with their latest purchase, and that buyers who adopted successfully were far more likely to have shortlisted three or fewer vendors. A good demo is where that narrowing happens.

Key takeaways

  • Book a demo with your own scenarios. Sample company demos hide the hard parts.
  • The purchase order test matters most: does it build itself from the approved request, or does someone type it again?
  • Three-way match, order against receipt against invoice, is where weak tools show their limits.
  • Ask who configures approval rules after go-live. If the answer is always the vendor, change will be slow and billable.
  • Shortlist three vendors or fewer, then take two into a sandbox on your data.

What the demo covers, with timestamps and what to watch for

The first column is the point in the recording. The last column is our note on what a buyer should check at that scene. The notes are ours, based on the scene titles, and they are not a summary of what the presenter says. Use them as a lens on any vendor you see.

Video timestamps and what to watch for
TimeSceneWhat to watch for
33:47DashboardDoes the home screen show open requests, approvals waiting and budget status, or only vanity charts?
34:12Raising a purchase requestCount the fields and clicks. Check whether budget, category and supplier are picked from lists instead of typed.
34:57Workflow, history and commentsLook for a visible trail of who did what and when. Auditors will ask for exactly this.
35:16Request detailCan an approver see price, supplier, budget and attachments on one screen without opening three tabs?
36:01Submitting the requestWatch what the tool validates before it lets the request through: missing fields, budget limits, policy rules.
36:40The procurement team passesCheck how a buyer reviews, edits or returns a request and whether the requester is told why.
38:07The approval chainIs the chain visible so you can chase a stuck approval? Ask who changes the rules later.
38:31Purchase orderThe key test: is the order created from the request, or does someone retype it?
38:47Goods receiptAsk for a partial delivery. Real deliveries are rarely complete on the first try.
39:29InvoiceLook at how the invoice is captured and compared with the order and receipt.
40:22Sourcing, expenses and contractsCheck whether these modules share supplier data with purchasing or sit apart.
42:37Approval flow configurationCan your own team build and change rules without the vendor? This decides the cost of change.

Twelve scenes cover the transaction chain from request to invoice, and then the less visible parts: sourcing, expenses, contracts and rule configuration. Many demos stop at the invoice. The last two scenes are the ones that decide how painful the product is to live with.

Five things a good procurement software demo shows

The request form decides what happens downstream

Bad data at the start becomes rework at every later step. In a good demo the requester picks category, supplier, budget and cost center from controlled lists, and the form blocks an incomplete request. Free text fields are a warning sign.

An approval chain you can see is one you can chase

Ask the vendor to show a request waiting on a second approver. You should be able to see who holds it, how long it has waited and how to nudge it. If the status lives only in an email thread, nobody can chase it.

If the order has to be typed, the demo has already failed

Once a request is approved, the order should be created from it, with supplier, price and terms carried over. Any retyping is a place for errors. Ask to see the order created, then edited, then resent after a price change.

Three-way match is the real test

Matching the order, the receipt and the invoice is where many tools turn into spreadsheets. Run your own case: an invoice for USD 4,180 against an order of USD 4,000. A good tool flags the variance, routes it to the right person and keeps the trail.

The vendor side is half the workflow

Suppliers must receive orders, confirm them and send invoices. Ask how a supplier is onboarded, how tax forms and bank details are collected, and how a bank detail change is verified. See supplier onboarding software for what to expect.

Want to see the match that fails?

Send us your three hardest scenarios and a vendor will show them live. Use the booking form on this page or ask an advisor.

Why most procurement software demos tell you very little

Gartner surveyed 1,503 technology buyers in 2023 and reported that six in ten regret nearly every as-a-service purchase they make, and that almost all would have preferred a fully digital buying experience. A polished sample company cannot predict that regret. Your own messy data can.

There is a second problem: the room. G2 found that nearly half of buyers had a CFO reverse a deal the team had already approved, and that security review delayed four in ten deals after selection. If finance and security are not in the demo, you are only previewing the easy part of the decision.

Procurement software demo checklist: 12 points to score any vendor

Score each point from 0 to 5 right after the scene. The weighted scorecard below does the sums. Anything under 3 on points 2, 4, 6 or 11 deserves a written follow-up.

What to do before you book any procurement demo

  1. Book the session. Fill in the form on this page with your country, company size and the process that hurts most.
  2. Get matched. An advisor replies within one business day with up to three vendors that fit your size, ERP and country.
  3. Send your scenarios. Share a split approval, a supplier onboarding and a mismatched invoice so each vendor demos your work, not a sample company.
  4. Score every vendor. Use the checklist and scorecard on this page. Score alone, compare after.
  5. Run a sandbox. Take your top two vendors into a two week trial on your own data.

Preparation takes about a day. For company size, startups and small teams should demo two or three focused tools and pick on ease of approval setup. Mid-sized firms should add integration and reporting to the scorecard. Large enterprises should add entity structure, delegated approvals and security review, and plan a staged rollout. If you are unsure whether you need focused software or a wider platform, read procurement software vs procurement platform first.

Demo notes for the United States, United Kingdom, Australia and the Philippines

The script travels. The tax and payment questions do not.

  • United States: ask about sales and use tax handling on orders, 1099 reporting for contractors and ERP sync. See procurement software in the USA.
  • United Kingdom: ask how VAT lines are recorded and whether the tool supports Making Tax Digital workflows. The standard rate is 20 percent. See procurement software in the UK.
  • Australia: ask for GST coding on every line, ABN validation and local data residency. GST is 10 percent. See procurement software in Australia.
  • Philippines: ask about 12 percent VAT on digital services under Republic Act 12023, withholding tax certificates and support hours that overlap Manila. We have no dedicated page yet, so ask an advisor.

Procurement software demo questions, answered

How do I book a procurement software demo?

Use the booking form at the top of this page. Add your country, company size and the process that hurts most. An advisor replies within one business day with up to three vendors that fit.

Is the procurement software demo free?

Yes. The advisor service and vendor demos are free to you. Vendors may offer a paid pilot later, and you decide whether to take it.

How long is a procurement software demo?

Plan 60 to 90 minutes for a first session and 45 minutes for a follow-up on one scene. The recording on this page covers one purchase from request to invoice and then the wider modules.

What should I prepare before the demo?

Three real scenarios: a split approval, a supplier onboarding with a missing document and an invoice that does not match its order. Also your monthly volume and your ERP.

Who should join the demo?

The budget owner, a daily requester, an approver, someone from accounts payable and someone from IT or security. Late stakeholders are a common reason for reversed deals.

Is the video on this page a sales pitch?

It is a recorded walkthrough of one product, Zapro AI, which we profile on this site. Use it to see what a full request to invoice demo looks like, not as a recommendation. Score every vendor on the same checklist.

Can I get a trial after the demo?

Often yes, after a first session. Ask for a two week sandbox loaded with your own suppliers and a month of purchase history.

Does a procurement software demo differ by country?

The core flow does not, but tax and data questions do: sales tax and 1099 in the United States, VAT in the UK and the Philippines, GST in Australia.
