The section most offboarding checklists skip
Most vendor offboarding processes we've seen focus almost entirely on the financial close-out — final invoice, final payment, done. That's necessary but not sufficient. Access and security is the section that gets missed most often, and it's the one with the most downside if it's skipped: an old vendor login left active, an API key never rotated out, company data sitting in a vendor's system with no formal confirmation it's been deleted. None of these show up on an invoice.
- Financial close-out — outstanding invoices, final payment, closing open POs
- Access & security — revoking system access, deactivating accounts, confirming data handling per contract
- Contract & documentation — formal termination notice, archiving the contract, updating vendor status
- Internal handoff — notifying stakeholders, transitioning ongoing work, updating budget forecasts
Why timing matters more than most people assume
Start this checklist as soon as the offboarding decision is made, not after the relationship has effectively already ended. Data retrieval and access revocation in particular get much harder once a vendor relationship has gone quiet — it's a very different conversation to ask a vendor to confirm data deletion while you're still actively working together versus reaching out months later with no ongoing reason for them to prioritize your request.
