- Send the demo tests to shortlisted vendors a week before their demo.
- Ask them to run the tests live, not show a recorded video.

Supplier onboarding portal
What it should do: let suppliers register, submit tax forms, bank details, insurance, and compliance documents themselves, with internal approvals routed automatically.
Demo test: "Onboard a new IT services supplier that will access customer data. Show the supplier's view, the questions triggered by data access, the bank detail verification step, and the approvals that follow."
Vendor master and 360-degree record
What it should do: hold one record per supplier with contacts, parent and subsidiary relationships, contracts, risk tier, documents, performance, and spend.
Demo test: "Show us one supplier record with its contracts, current risk tier, expiring documents, last scorecard, and 12 months of spend in one place."
Document management with expiry tracking
What it should do: store certificates and reports with expiry dates, and remind suppliers and owners before they lapse.
Demo test: "Upload an insurance certificate expiring in 45 days. Show who gets notified, when, and what the supplier sees."
Risk tiering
What it should do: assign an inherent risk tier based on intake answers and adjust diligence requirements by tier.
Demo test: "Change one intake answer from 'no customer data' to 'stores customer data.' Show how the tier and required diligence change."
Contract repository
What it should do: store contracts linked to suppliers with key dates and terms.
Demo test: "Upload one of our legacy PDF contracts. Show which terms are extracted and how we correct an error."
Operational features
Questionnaires and assessments
Demo test: "Send a security questionnaire to a supplier, show how they answer and attach evidence, and show how a reviewer flags a finding and tracks it to closure."
Performance scorecards
Demo test: "Build a scorecard with four measures, one pulled from data and three scored by the business owner. Show the trend for one supplier over four quarters."
Renewal and obligation alerts
Demo test: "Show every contract with a notice deadline in the next 120 days, grouped by owner, and show what the owner receives."
Configurable workflows
Demo test: "Change the approval route so vendors over a set annual value need CFO approval. Have our admin make the change, not your consultant."
Integrations
Demo test: "Show a new approved supplier syncing to our ERP (name it: NetSuite, SAP, Oracle, Microsoft Dynamics, or another). Show what fields sync, in which direction, and how errors are reported."
