How to Use This RFP Template
This template is designed to be customised to your organisation's specific requirements before issue. Steps: (1) Complete Section 1 with your company background and specific requirements. (2) Review and tailor questions in Sections 2–5 — remove questions for capabilities you don't need; add questions for requirements unique to your organisation. (3) Define your scoring weights in Section 7 before issuing — not after receiving responses. (4) Issue to 4–6 shortlisted vendors with a 3-week response window. (5) Score responses independently before committee discussion.
Section 1: Company & Requirements Background
Include in your RFP introduction: organisation overview (size, industry, annual spend under management, number of vendors, current ERP system); scope of the engagement (which modules are in scope: sourcing, contracts, vendor onboarding, compliance, analytics); current state (what tools you currently use, key pain points driving the evaluation); go-live timeline and constraints; and evaluation committee composition.
Section 2: Functional Requirements (Sample Questions)
Vendor Lifecycle Management
- › Describe your vendor onboarding workflow, including self-service portal capability, document collection, and approval routing.
- › How does your platform support vendor tiering and tier-based compliance requirement differentiation?
- › Describe your certificate of insurance tracking — automated alerts, expiration management, and PO hold enforcement.
- › How do you support OIG/SAM exclusion screening at onboarding and on an ongoing monthly basis?
- › Describe your vendor portal — what can vendors see, update, and submit without procurement team involvement?
Sourcing & Contracts
- › Describe your RFx capabilities — what event types are supported, how are templates managed, and what award optimisation scenarios can be modelled?
- › How does your contract management module handle templates, approval workflows, e-signature, and renewal alerts?
- › Describe your supplier network — size, geographic coverage, and how suppliers already registered accelerate onboarding.
- › How does your platform support multi-round negotiations and bid revision management?
Compliance & Risk
- › Describe your third-party risk assessment workflow — questionnaire distribution, scoring, external data integration, and risk treatment tracking.
- › What third-party risk intelligence data providers do you integrate with (D&B, BitSight, EcoVadis, etc.)?
- › How does your platform support continuous monitoring of Tier 1 vendors — adverse media, financial health, sanctions?
- › Describe your audit trail and evidence package generation capability for regulatory examinations.
Analytics & Reporting
- › Describe your spend analytics capabilities — categorisation methodology, real-time dashboards, and self-service report building.
- › What KPIs and vendor performance metrics are available out-of-the-box vs requiring configuration?
- › How does your platform support executive and board-level reporting?

Section 4: Integration Requirements
- › What pre-built ERP integrations do you offer, and what is the typical integration timeline for [your ERP]?
- › Describe your API — REST or SOAP, authentication method, rate limits, and available documentation.
- › How do you handle vendor master data synchronisation with ERP — direction of sync, frequency, conflict resolution?
- › Do you offer pre-built connectors for e-signature platforms (DocuSign, Adobe Sign)?
- › Describe your integration with risk intelligence providers — how is D&B, BitSight, or EcoVadis data surfaced in the platform?
Section 5: Implementation & Support
- › Describe your standard implementation methodology — phases, milestones, and typical timeline for an organisation of our size.
- › Who leads our implementation — direct employees or third-party implementation partners? What is their average tenure?
- › What is included in your onboarding package vs billed separately?
- › Describe your customer success model — named CSM, frequency of check-ins, and escalation path for issues.
- › What is your typical response SLA for P1 (system down) and P2 (major feature impaired) tickets?
- › Provide three customer references of similar size and industry to our organisation.
Section 6: Pricing & Commercial Terms
- › Provide full pricing for your proposed solution — licence fees, implementation fees, and all additional costs.
- › What is your pricing model (per user, per vendor, flat licence, percentage of spend managed)?
- › What is included in the annual licence vs additional modules or usage-based fees?
- › Describe your typical multi-year contract structure and what commercial flexibility you offer.
- › What contractual protections do you offer for price increases on renewal?
